Connecting an app

How to connect Slack, your CRM, help desk, task tool, spreadsheet, shop or calendar to Ringhum, which kind of connection each app uses, and how to check that it works.

On this page

The Integrations page connects Ringhum to the tools your team already uses. Once an app is connected, Ringhum sends it calls, messages, bookings and orders as they happen. Some apps also feed information back, such as busy times from a calendar or a caller's orders from your shop. You connect each app once for the whole workspace, and every assistant in the workspace uses it.

Before you start

  • Only the workspace Owner and Admins can connect, change or disconnect apps. Members and Viewers can see the page, and the cards show Ask an admin to connect this app.
  • Most apps are available on every plan. Google Calendar (two-way sync) and Calendly are part of the Team and Scale plans. On other plans their cards show a plan lock instead of Connect.
  • You need an account with the other app, and usually admin rights there to create an API key or a webhook.

The app catalogue

Open Integrations in the sidebar. Use the search box or the category buttons to find an app. The Connected button shows only the apps you have already connected.

If your tool is not listed, you can usually reach it through Zapier, Make or n8n, or with your own webhook endpoint under Developers. The Webhooks & API button at the top of the page takes you there.

Three ways to connect

Each app uses one of three connection types. The card and the connect dialog show you which one.

Type What you do Examples
API key or token Paste credentials from the other app into a dialog HubSpot, Zendesk, Trello, Airtable, Shopify, Telegram, Cal.com
Sign in Sign in to the other service and approve access Google Calendar, Google Sheets, Google Drive, HubRise
Webhook URL Create an incoming webhook in the other app and paste its URL Slack, Microsoft Teams, Discord, Google Chat, Zapier, Make, n8n

Two groups work differently. The Calendar feed (ICS) card gives you a link to paste into your calendar app; you do not connect anything. The hotel channels (Booking.com, Airbnb, Vrbo) are set up per room: their cards have a Set up on Rooms button that opens Rooms & rates.

Connect an app with a key or a webhook URL

  1. Open Integrations and find the app.
  2. Click Connect on its card. The Connect dialog opens with a short description of where to find the credentials in the other app. Many apps also have a Documentation link.
  3. Fill in the fields, for example an API key, a subdomain, a list or project id, or a webhook URL.
  4. Under Send, tick the events the app should receive. See Choosing what gets sent.
  5. If the dialog shows the Only calls that need attention switch, decide whether the app should hear about every call or only calls that need someone to act.
  6. Click Connect.

Ringhum checks the connection before it saves anything. If the check fails, nothing is saved and the dialog shows Could not connect with the reason from the other app, such as a rejected key. Fix the field and try again.

Note: Credentials are stored encrypted and are only used from our servers.

Connect an app by signing in

  1. Click Connect on the card. You are taken to the other service.
  2. Sign in and approve the access it asks for.
  3. You come back to Integrations with a confirmation message.

Some sign-in apps need one more step. For Google Sheets, click Settings on the card and paste the spreadsheet id. Until you do, deliveries are skipped with the message "Add the spreadsheet id in the integration settings". Google Drive works straight away and saves files in My Drive unless you add a folder id under Settings.

Test the connection

A connected card shows a status badge: Connected, Error or Paused. It also shows the time of the last delivery and the events the app receives.

  • Send test (messaging and automation apps) posts a test message, so you can see it arrive in the channel or workflow.
  • Test (all other apps) checks that the credentials still work.

The result appears as a message at the top of the screen. For Zapier and Make, send a test event before you map fields, so the workflow can learn the data structure.

Manage a connection

A connected card has some or all of these buttons:

  • Settings (apps with fields to fill in) opens the dialog again to change credentials or events. Click Save settings. The connection is checked again before the change is saved.
  • Reconnect (sign-in apps) repeats the sign-in, for example after you change your password or the access expires.
  • Pause stops all deliveries without losing the settings. Resume starts them again.
  • Disconnect removes the connection and its stored credentials.

Troubleshooting

The Connect button is missing. You may not be an Owner or Admin, the app may need a higher plan (the card shows a plan lock), or a sign-in app may show Needs setup, which means it is not available at the moment. Contact support if that badge stays.

A banner says "Native connectors are switched off for this workspace". CRM, help desk, task, spreadsheet, marketing, analytics and e-commerce apps are turned off for your workspace. Messaging, automation and calendar apps still work. Contact support to have them turned back on.

My test call did not show up in Slack or my CRM. Call updates, inbox items and orders from test calls are not sent to connected apps. Make a real call to the number.

The card shows Error. Click the last-delivery line on the card to see what went wrong. See Troubleshooting deliveries.
