Notifications: email, push and team alerts

Where Ringhum tells you about calls, messages and bookings, how each person chooses their own emails and phone notifications, and how to send alerts to a team chat such as Slack or Microsoft Teams.

On this page

Ringhum lets you know when something needs you: a caller left a message, an appointment was booked, a text came in, or your minutes are running low. Notifications reach you in four places: the bell in the dashboard, email, push notifications on your phone or computer, and your team's chat app. Each person in the workspace chooses their own, so the front desk can get every booking while the owner only gets the weekly report.

In the dashboard

The bell at the top of the dashboard shows new notifications as they arrive: invitations, calls that need attention, new voicemails, messages, bookings and usage alerts. Open it and press All notifications to see the full list on the Notifications page, where you can Mark as read, Mark all as read or Clear the list.

Choose your email notifications

Each person sets their own preferences. They apply to you only, in every workspace you belong to.

  1. Open Settings and select the Notifications tab.
  2. Switch on or off what you want to receive.
  3. Press Save preferences.
Preference What it covers On by default
Call summaries by email An email after every call with summary and transcript (per assistant setting) Yes
Calls that need attention A message is taken, a callback is requested or a call fails Yes
New voicemails A caller leaves a voicemail after hours Yes
Appointments An assistant books, reschedules or cancels an appointment Yes
Orders An assistant takes an order, or an order is cancelled Yes
Reservations An assistant books a room, or a reservation is cancelled Yes
Campaign updates An outbound campaign starts, pauses or finishes Yes
Knowledge base A website crawl or document import finishes or fails Yes
Integration problems A connected app stops accepting data or needs to be reconnected Yes
Weekly report Call volume, outcomes and minutes used, every Monday Yes
Daily digest One email every morning with yesterday's calls, messages and bookings No
Usage and billing alerts 80% and 100% of included minutes, invoices and payment problems Yes
Team activity Someone accepts your invitation, or an invitation expires Yes
Setup tips A few short emails in your first week, including a note after each test call Yes
Product updates New features and changes, about twice a month No

Some of these also appear in the bell, for example calls that need attention and new voicemails.

Tip: Notification emails end with Unsubscribe and Email preferences links. Unsubscribe switches off that one preference, and you can switch it on again here.

The Daily digest is only sent on days with something to report: calls, or open items in your inbox.

Some emails are not optional because they concern your account: sign-in alerts, password and two-factor changes, and invitations.

Call summary emails for an assistant

Each assistant can email a summary after every call, with the summary, extracted details and transcript.

  1. Open Assistants, then the assistant, and select the Notifications tab.
  2. Switch on Email a summary after each call.
  3. Under Send to, enter the address that should receive them.
  4. Press Save changes.

If the address belongs to someone in the workspace who switched off Call summaries by email, they do not receive these emails.

Push notifications on your phone or computer

Push notifications pop up even when Ringhum is closed: calls that need you, new messages and bookings. Switch them on separately on each device.

  1. On the device, open Settings and select the Notifications tab.
  2. Under Phone notifications, press Turn on for this device.
  3. Allow notifications when your browser asks.
  4. Press Send a test to check that it works.

On iPhone and iPad, add Ringhum to your Home Screen first: tap the Share button in Safari, choose Add to Home Screen, open Ringhum from your Home Screen and come back to this page.

The devices with notifications on are listed below the button. Press Remove to stop notifications on one, or Turn off on the device itself.

Push notifications follow the same preferences as the bell. For example, if you switch off Calls that need attention, you do not get those in the bell or as push notifications either.

Alerts in your team chat

To post to a shared channel, connect a chat app under Integrations. Slack, Microsoft Teams, Google Chat, Discord and Telegram can post a summary of every call, new messages and bookings to a channel. Pushover sends alerts to your phones.

  1. Open Integrations and find the app.
  2. Press Connect and paste the webhook address or keys the app gives you. The connect window explains where to find them.
  3. Under Send, tick the events to post.
  4. For the chat apps you can switch on Only calls that need attention: messages, callback requests, voicemails, hang-ups and failures. With it off, every call is posted.
  5. Press Connect. The connection is checked before it is saved, and the app usually receives a short "connected" message.

Connecting apps needs the owner or admin role. Test calls are never posted to connected apps. See Connecting an app.

Troubleshooting

I do not get push notifications. Press Send a test. If you see "No device received it", turn notifications on again on this device. If your browser says notifications are blocked, allow them for this site in the browser settings.

A teammate does not get call emails. Each person's preferences are their own. Ask them to check Settings → Notifications. For call summaries, also check the assistant's Notifications tab.

I no longer want the weekly report. Switch off Weekly report under Settings → Notifications, or use the unsubscribe link in the email.
