Your customers receive emails from Ringhum on your behalf: appointment confirmations, order updates, reservation confirmations and more. With email branding, these emails carry your logo, your colour, your sender name and your own opening and closing text. Branding is set per assistant, so each assistant can match the business or location it answers for. It is included on the Solo, Team and Scale plans.
Where to find it
- Open Assistants and select the assistant.
- Open the Customer emails tab.
The tab has three cards: Look, Wording and Preview. Anyone who can edit assistants can change these settings. On the Starter plan the tab shows what branding does and a plan lock.
Which emails are branded
Branding applies to the emails your customers get from this assistant:
| When it is sent | |
|---|---|
| Appointment emails | Confirmation, reminder, change and cancellation |
| Order emails | Order received, confirmed, ready, on its way or cancelled |
| Reservation emails | Stay requested, confirmed or cancelled |
| Callback confirmation | After a caller asked to be called back |
| Information sent by the assistant | Details a caller asked to receive by email |
| Review request | Asks for a review after a visit, when the customer has no number to text |
Emails that no assistant sent, such as bookings made on your public booking page or changes made in the dashboard, use the branding of your workspace's first assistant that has branding set up.
Emails to your own team, such as call summaries and notifications, keep the standard Ringhum look.
Customise the look
In the Look card:
- Logo: click Upload logo. Use PNG, JPG or WebP, up to 1 MB and at most 2000 pixels wide or high. A wide logo on a transparent or white background looks best. The logo is saved as soon as it uploads. Without a logo, your name is shown instead.
- Sender name: the name your customers see as the sender in their inbox, up to 60 characters. If you leave it empty, your company name is used.
- Colour: used for buttons and links. Enter a hex code such as
#4b4be0or use the colour picker. - Footer: a short line at the bottom of every email, for example your address, phone number or opening hours.
- Show "Sent using Ringhum": switch this off to remove the credit line.
Write your own wording
In the Wording card, each email has an Opening text and a Sign-off. Leave a field empty to keep the standard text. Each field can hold up to 600 characters.
The important details, such as the time, the order and the total, are always filled in automatically. You only change the text around them.
You can insert placeholders that are replaced with real details. Each email lists the placeholders it supports under its fields, for example:
| Placeholder | Replaced with |
|---|---|
:customer |
The customer's name |
:guest |
The guest's name (reservation emails) |
:title |
The appointment title |
:when |
The date and time |
:number |
The order or reservation number |
:total |
The order or stay total |
:company |
Your company name |
Preview and test
Click Preview next to any email to see it in the Preview card with sample details. The preview updates as you type, before you save.
When you are happy, click Save. To check the result in a real inbox, click Send me a test. The test email goes to the address you sign in with.
Sender address and replies
Customer emails are sent from our no-reply address, with your sender name shown. When a customer replies, the reply goes to the email address on your Company page. Make sure that address is filled in and monitored.
Without branding, customers see your company name followed by "via Ringhum" as the sender.
Common questions
I changed the settings but my customers still get the old look. Changes apply after you click Save, except the logo, which is saved on upload. Emails already sent are not changed.
Can each location have its own branding? Yes. Give each location its own assistant and set up branding on each one.
Can I change the email address the emails come from? No. Only the sender name changes. Replies go to the email on your Company page.
I downgraded to Starter. What happens to my branding? Your emails go back to the standard look. Your settings are kept, and they apply again if you move to a plan that includes branding.
