Review requests send your customers a short thank-you with a link to your review page a few hours after their visit, order or stay. You paste the link once, for example your Google review link, and Ringhum sends the requests for you. Customers whose call went badly can be left out, nobody is asked more than once in 90 days, and nothing is sent at night.
Review requests work on every plan. How they are sent depends on your plan (see below).
Set up review requests
- Open Company → Reviews.
- Turn on Send review requests.
- Paste your review page into Review link. It must start with
https://. - Choose When to ask: 1, 2, 3 or 6 hours after, The next day, or 2 days after. The default is 3 hours.
- Under Ask after, choose what triggers a request (see the table below).
- Leave Skip customers whose call went badly on, unless you want to ask everyone.
- Optionally, write your own Message.
- Click Save. You see "Review requests are on."
Any review page works: Google, Tripadvisor, Trustpilot, Yelp or Facebook.
Find your Google review link
- Search for your business name on Google while signed in to the Google account that manages it.
- In your business panel, choose Ask for reviews (or Get more reviews).
- Copy the link it shows and paste it into Review link.
What triggers a request
| Ask after | Sent when | Not sent for |
|---|---|---|
| Appointments | The chosen time after the appointment ends | Cancelled appointments and no-shows |
| Completed orders | The chosen time after the order is marked Completed | Orders that are not completed |
| Stays, after check-out | The chosen time after late morning on the check-out day | Cancelled reservations and unconfirmed requests |
Completed orders only appears for businesses that take orders, and Stays, after check-out only for businesses with rooms. You do not need to mark an appointment as completed. An appointment that was neither cancelled nor marked No-show counts.
Requests only cover visits from the last three days, and only visits that ended after you switched review requests on. Turning the feature on never messages your old customers.
Who is skipped
A customer is not asked when:
- they were already sent a review request in the last 90 days, to the same phone number or email,
- their contact is marked Do not call,
- Skip customers whose call went badly is on and the assistant noticed they were unhappy on the call that led to the booking, order or stay,
- the booking has neither a phone number nor an email address.
Ringhum checks for due requests every 15 minutes, but only sends them between 9:00 AM and 8:00 PM in your workspace time zone. A request that falls due at night goes out the next morning.
How requests are sent
| Your plan | How customers are asked |
|---|---|
| Solo, Team and Scale | By text, or on WhatsApp when the customer wrote to you there today. Customers without a mobile number, or whose text fails, get an email instead. |
| Starter | By email, or on WhatsApp when the customer wrote to you there today. Sending texts (SMS) is part of Solo and up. |
Texts need a number that is approved for texting. See Text messaging (SMS). A customer who replied STOP to your texts gets the email instead, if you have their address.
Emails use your own style from your customer email settings, and have a Leave a review button. See Email branding.
Write your own message
Leave Message empty to use the standard text: "Hi [first name], thank you for choosing [company]! If you have a minute, we would love a quick review:" followed by the link.
To write your own, you can use these placeholders:
:namefor the customer's first name ("there" if you do not know it),:companyfor your business name,:linkfor the review link.
If you leave out :link, the link is added at the end. The message can be up to 320 characters. The Preview under the box shows exactly what a customer named Maria would get.
Tip: Keep it short and personal. One sentence of thanks and the link work better than a long message.
Track what was sent
The Sent card shows the last 30 days:
- Requests sent and Opened the link, with the share of customers who opened it.
- The latest requests, with the customer, how it was Sent by (text message, WhatsApp or email), when, and the status: Sent, Opened or Not sent.
The link in each request is a short tracking link. When the customer taps it, the request is marked Opened and the customer goes straight to your review page. Ringhum cannot see whether they then wrote a review.
Common questions
I switched it on, but nothing has been sent. Only visits that end after you switch it on are asked about, and only after the delay you chose. Check that the right Ask after options are on and that it is between 9:00 AM and 8:00 PM your time.
A request shows "Not sent". Hover over the badge to see the reason. It is usually a text that could not be delivered to a customer without an email address.
Can I ask the same customer again after a second visit? Not within 90 days of the last request. After that, their next visit can trigger a new one.
